Copying a Shipment
After one shipment is created and saved, it can then be copied. You can modify each copy as necessary and then book it.
Why would I copy a shipment?
If a shipment needs to be duplicated, but will not be needed again, then you should use the copy feature. It is also a quick way to create a new shipment.
Before Getting Started
- You belong to a company that has access to at least one policy in Confirmed status.
- You are assigned the Create Shipment security right.
- You belong to a company that has access to at least one shipment.
Note: You can copy from any existing shipment, regardless of the shipmentâs status.
Steps
- In the Common Shipment Actions widget on the left side of the screen, click the Copy Shipment hyperlink to create a new shipment based on the selected one. The Shipment Certificate screen is displayed.
-
Complete, at minimum, the required fields. Fields marked with a red asterisk * are required. If additional fields become mandatory based on the information you provided the system will identify them after you click Verify Coverage. For details on creating shipments, refer to the Creating a New Shipment section.
When copying a shipment, the system does not copy the following information:
- Date of Departure.
- Primary Assured, if it is set to Inactive.
- Bill to Party, if it is set to Inactive or the Primary Assured has been dropped.
-
Named Assured if:
- Primary Assured is set to Inactive.
- Named Assured is set to Inactive or has not been saved on a previous shipment.
-
Vessel, if it is not hidden on the SSC, was selected from the dropdown list, and:
- Is set to Inactive.
- The Company Conveyance List is associated to a Conveyance Group which is not configured for the Conveyance attached to the Vessel.
-
Country/State, if:
- Country is set to Inactive.
- Country is not hidden on the SSC.
- Country is dropped. The associated State is also dropped.
-
The Destination and Origin countries are dropped according to the Country settings.
For example, if Country A is the Destination and is set to Inactive, and Country B is the Origin but remains active, only Country A will be dropped.
-
Loading/Discharge Facilities and Locations, if:
- Loading/Discharge Facilities and Locations are not hidden on the SSC.
- Country is dropped, then facility or location is also dropped. The Loading/Discharge location is dropped based on the Country settings, as well as if the Loading/Discharge location or facility is set to Inactive.
-
Storage Location, if:
- Storage Location is set to Inactive.
-
Country is set to Inactive.
- When Country is set to Inactive for Named Locations, the Named Location and the Country are dropped.
- When Country is set to Inactive for Unnamed Locations, the country, state, address, city, postal code, phone number and location name are removed.
- Claim Settling Agent, if it is set to Inactive or not available in the list.
- Shipment documents.
- Shipment Notes.
Result
The system displays a new shipment populated with all of the data from the shipment you are copying (except for the Date of Departure). The shipment fields become editable for you to modify as required and you can Verify Coverage to proceed with booking the new shipment.
